Working on a major retail chain with 230 locations across 18 states. They want standardized LOAs but I'm running into issues with different utility authorization requirements - some need notarization, others just signatures, PSE&G wants specific language about third-party access. Anyone have templates that work across multiple utilities? This is my first portfolio this big and I don't want to mess it up.
LOA templates for 200+ retail locations - sanity check needed
Gloria - been there! I maintain about 6 different LOA versions for multi-state work. Key is to use the most restrictive language that still works everywhere. Include the notary block even if not required, add the third-party language PSE&G wants, and make sure to reference 'agent or representative' not just 'auditor'. Happy to share my master template if you PM me.
Rob's right about the restrictive approach. Also make sure your corporate contact signs a master authorization that covers all locations - saves you from chasing down individual store managers. I learned that the hard way on a 180-location grocery chain audit.
Good advice from Rob and Kevin. One thing to add - create a tracking spreadsheet that shows LOA status by location, utility, and date submitted. These big portfolios can get messy fast if you don't stay organized. Also budget extra time for LOA processing - some utilities take 4-6 weeks for multi-site authorizations.
