We just signed a major retail chain with 247 locations across 12 states. I'm trying to standardize our Letter of Authorization template to work with all the different utilities they deal with - ComEd, Duke, PSE&G, Georgia Power, you name it. Some utilities want very specific language and others are more flexible. Anyone have a bulletproof LOA template that works everywhere?
Standardizing LOAs across 250 retail locations - best practices?
Anita, I've been down this road. The trick is having modular sections you can swap in/out based on utility requirements. Keep the core authorization language standard but have utility-specific addendums. ComEd for example needs that specific account holder verification language. I can send you my template if you want.
Great question Anita. Norm's approach is solid - modular LOAs are the way to go for multi-state portfolios. I'd also recommend having pre-approved templates for the top 10-15 utilities you encounter most often. That covers probably 80% of your locations right there. For the outliers, you'll need custom language but at least you're not reinventing the wheel every time.
Thanks both! Norm, I'll take you up on that template offer. Randy, that 80/20 approach makes total sense - we're seeing the same utilities pop up repeatedly across their footprint. I think I was overthinking trying to make one universal template work everywhere.
