Brian, I typically follow up after one week with additional details they requested, two weeks with a 'checking in' email, and three weeks with a timeline reminder about statutes of limitations. After that, monthly touchpoints until they decide.
I use a CRM system to track all follow-up activities and set automatic reminders. Takes the guesswork out of when to reach out next. Also helps identify patterns - like which types of clients typically take longer to decide.
Kent, good point about liability. I keep the recap general - 'significant overcharges identified' rather than specific amounts. Save the detailed financials for signed clients only. Protects everyone if deals fall through.
