Privacy Policy

This Privacy Policy explains what information American Association of Utility Bill Auditors, LLC ("AAUBA," "we," "us") collects when you use aauba.org, how we use it, who we share it with, and what choices you have. We do not sell your personal information.

1. Who We Are

AAUBA is a professional training and certification organization for commercial utility bill auditing, organized as American Association of Utility Bill Auditors, LLC, a Missouri limited liability company (Charter No. LC014754334, organized July 5, 2026). We operate the website at aauba.org, the CUBA© training program, the member forum, and related services.

2. Information We Collect

2.1 Information You Provide Directly

  • Account information. When you register for the training program or the member forum, we collect your name, email address, display name, and a password. You may optionally add a location and a short biography to your member profile.
  • Inquiries. When you use our contact form or email us, we collect your name, email address, and the content of your message.
  • Forum and community content. Posts, replies, and profile details you publish in the member forum. This content is visible to other members.
  • Course work. Answers you submit on quizzes, the practical workbook exam, and the certification exam.

2.2 Payment Information

We do not collect, process, or store payment card numbers. All payments are handled entirely by PayPal within PayPal's own secure checkout. Your card details are entered on PayPal's systems and are never transmitted to or through aauba.org.

After a completed payment, PayPal sends us a confirmation containing the transaction identifier, the amount, the item purchased, and the name and email address associated with your PayPal account. We use this record to issue your registration code and to maintain our enrollment records. PayPal's handling of your information is governed by PayPal's own privacy policy.

2.3 Learning Records

As you move through the program we record which lessons you have started and completed, your quiz attempts and scores, your exam attempts and results, and your certification status. These records are how we determine whether you have met the requirements for the CUBA© designation and how we verify a credential if someone asks us to confirm it.

2.4 Information Collected Automatically

  • Log data. Our hosting provider records standard web server information including IP address, browser type, referring page, and the pages you request.
  • Cookies. We set a session cookie when you log in, which keeps you signed in as you move between pages. This cookie is required for the site to function and is deleted when your session ends.
  • Analytics and advertising tools. We use Google Analytics (loaded through Google Tag Manager) to understand how visitors use the site, and the Meta pixel to measure the performance of our advertising. These tools set their own cookies and may collect device and usage information. They are operated by Google and Meta respectively under their own privacy policies.

3. How We Use Information

We use the information described above to:

  • Create and maintain your account and deliver the training program
  • Issue registration codes and process enrollment
  • Grade quizzes and exams and determine certification eligibility
  • Verify a CUBA© credential when a certificant or a third party asks us to confirm it
  • Send transactional messages such as registration codes, password resets, and account notices
  • Respond to inquiries and provide support
  • Send program updates and marketing email, from which you may unsubscribe at any time
  • Operate, secure, and improve the website
  • Detect and prevent fraud, abuse, and violations of our Terms of Service
  • Comply with legal obligations

4. How We Share Information

We do not sell your personal information, and we do not rent or trade member lists.

We share information only in these circumstances:

  • Service providers. Our web host, our email delivery provider, and PayPal receive the information necessary to provide their service to us. They are not permitted to use it for their own marketing.
  • Other members. Content you post in the member forum, along with your display name and any profile details you choose to publish, is visible to other logged-in members.
  • Credential verification. If you hold the CUBA© designation, we may confirm your certification status and the date it was granted when a client, employer, or other party asks us to verify it.
  • Legal requirements. When we are required to do so by law, subpoena, or court order, or where we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
  • Business transfer. If AAUBA is acquired or merged, member records may transfer as part of that transaction, subject to this policy.

5. Email Communications

We send two kinds of email. Transactional email — registration codes, account notices, exam results, and replies to your inquiries — is necessary to deliver the service you purchased and is sent to all active members. Marketing email — program announcements, new content, and promotional messages — includes an unsubscribe link in every message, and you can opt out at any time without affecting your access to the course. You may also email info@aauba.org to be removed.

6. Cookies and Your Choices

Most browsers let you refuse or delete cookies through their settings. If you block the session cookie, you will not be able to log in to the training program or the member forum. Blocking analytics cookies does not affect your access to any part of the site.

You can opt out of Google Analytics across all websites using Google's browser add-on. You can adjust advertising preferences through Meta's ad settings and through the Digital Advertising Alliance's opt-out tools. If your browser sends a Global Privacy Control signal, we treat it as an opt-out request for targeted advertising.

7. Data Retention

We keep account and learning records for as long as your account is active. Because the CUBA© designation is a credential that clients and employers may need to verify years after it was earned, we retain certification records — name, credential status, and date awarded — indefinitely unless you ask us to remove them. Payment and enrollment records are retained as long as required for tax and accounting purposes. Inquiry correspondence is retained for two years.

8. Your Rights and Choices

Regardless of where you live, you may ask us to:

  • Tell you what personal information we hold about you
  • Correct information that is inaccurate
  • Delete your account and associated personal information
  • Stop sending you marketing email
  • Provide a copy of your information in a portable format

To make a request, email info@aauba.org from the address associated with your account. We will respond within 45 days. We will not deny you service, charge you a different price, or reduce the quality of the program because you exercised any of these rights.

If you delete your account, we will remove your profile and forum content on request, but we may retain the minimum record needed to verify a credential you have already earned and to satisfy tax and accounting obligations.

California residents. The categories of information described in Section 2 correspond to identifiers, commercial information, internet activity, and professional information under California law. We do not sell personal information and we do not share it for cross-context behavioral advertising as those terms are defined by the CCPA. You may exercise your rights using the contact address above, and you may designate an authorized agent to do so on your behalf.

9. Security

The site is served over encrypted HTTPS connections. Account passwords are stored as one-way cryptographic hashes and cannot be read by us or recovered in plain text. Access to member records is limited to personnel who need it to operate the program. No system is perfectly secure, and we cannot guarantee that unauthorized access will never occur; if a breach affects your personal information, we will notify you as required by applicable law.

10. Children

The training program is intended for working adults and is not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.

11. Third-Party Links

The site and the member forum contain links to utility company sites, regulatory commissions, tariff libraries, and other outside resources. We do not control those sites and are not responsible for their privacy practices. Review their policies before providing information to them.

12. Changes to This Policy

We may update this policy as the program changes or as the law requires. The effective date at the top of this page always reflects the current version. If we make a material change to how we use personal information, we will notify active members by email before the change takes effect.
